How to participate?

Onsite participation

The conference will be held at the University of Turku campus, in Arcanum building.

How to get to the onsite venue
University of Turku is situated near the centre of Turku, about 1.5 km from the city centre Market Square. Please read more here.

Online participation

The virtual participation to the conference takes place on conference platform Oxford Abstracts, OA.

All registered participants will receive a personal login link to access the platform in August 2025. The link will be sent personally via email on 14 August. To sign in and access the platform via the link, please use the same email address you have used when you registered to the conference.

General oral presentation guidelines

These guidelines are for presenters with an accepted abstract. To ensure a smooth experience for both you and the audience, please follow the guidelines below regarding your presentation materials and logistics.

  • All presentations are presented in the parallel sessions of the thematic streams, onsite or online via Zoom.
  • Sessions include max. 5 presentations, each presenter has 15-18 minutes presentation time, including a few minutes for questions.
  • Each session has a chairperson and a conference assistant helping with the technical aspects.

Onsite presentations

  • Upload your presentation in advance, the very latest by noon the day before your session. The upload link will be sent via email on 7 August and 14 August.
  • Personal laptops cannot be used in onsite presentations. All onsite presentations will be run from the auditorium computer to avoid technical problems.
  • On the day of your presentation: please arrive to the lecture room well in advance before the start of your session (10-15 minutes).

Online presentations

  • Be prepared to share and present your PowerPoint presentation in Zoom. The Zoom link to your session will be found on the online programme, on the Oxford Abstracts conference platform, to which we will send you an access link by email on 14 August.
  • Check that you have a stable Internet connection. A headset with a microphone is strongly recommended for better sound. Share your camera and be sure to turn on your microphone when it’s your turn to present.
  • You may join a Zoom test session to test your connection and sharing your presentation.
  • On the day of your presentation: please arrive to the Zoom well in advance before the start of your session (10-15 minutes).

Posters

Presentation guidelines apply also to posters. Posters will be presented digitally during the parallel sessions, where presenters may respond to questions from the session audience.

Upload your poster file also to the online Poster Gallery as a PDF file (1 page). Instructions and access link to Oxford abstracts to upload the poster file will be sent to you on 7 August. Please upload the poster latest on 19 August.

Presentation format and file requirements

  • File Type: PowerPoint (.PPT or .PPTX). PDF will only be accepted if PowerPoint is not possible.
  • Aspect ratio: 16:9 (widescreen).
  • Fonts: Use standard system fonts. Minimum font size: 24 pt
  • Videos: Must be embedded within the presentation. Additionally, upload video files separately in MP4 format as a backup.
  • Copyright: Ensure that all media used are copyright compliant.

File naming standard

  • Format: [presentation code]_[presentation date: day&month]_[first name] [last name]
    (e.g. 5.03_2108_John Smith.pptx ).
  • Programme codes will be found in the online session programme (after 6 August).

Submission Instructions

Onsite presenters

  • Deadline: Upload your presentation in advance, the very latest by noon the day before your session.
  • Upload link: Link will be sent to you in an info email on 7 August and 14 August.

Online presenters

  • Online presenters will share their presentation directly in Zoom (from  their own computer).
  • Zoom test times for online presenters: 
    Friday, 15 August at 13:00 (UTC+3)
    Monday, 18 August at 15:00 (UTC+3)
    The Zoom test link will be sent to you in an info email on 14 August.
